The Ford Consumer Experience Movement (CEM) is a coach-led process focused on developing vision, values, a caring culture, and highly effective teams through virtual and in-person visits.

The Project Coordinator will assist with the implementation and support of multiple projects on the Ford CEM Team and work closely with the Program Manager, Systems Administrator and Team Lead to support and grow the vision and activities of the Ford CEM Program.

Job Responsibilities / Program Operations 

  • Manage Document control and Work Instruction updates 
  • Monitor and identify potential concerns proactively to MSXI Leadership 
  • Expense Reports – Work closely with Systems Administrator on processing and submission for customer approval
  • Responsible for invoicing and collaborates with accounts payable
  • Oversee MSXI travel booking software and coach invoice reconciliation
  • Work with the coaches to ensure they follow up with admin and expenses contract requirements
  • Continually evaluate incoming expenses and oversee the approval process with the Program Management Team
  • Review all expenses, then approve or decline before submitted to accounting. If expense is declined this requires a follow-up call to the Coach
  • Walk coaches through the reimbursement allowance and process via phone and email
  • Reporting activities related to the invoice process.
  • Monitors all coach entry and provides support and providing practical administrative support.
  • Handling invoicing problems and disputes with coaches and clients
  • Works with Accounting Department ensuring accuracy in billing and invoicing
  • Performs other program administrative responsibilities
  • Provide Training on Expense Report policy requirements
  • Develop and maintain program processes and procedures
  • Identify opportunities for process improvement 
  • Assure the completion of assigned training courses
  • Onboarding – Assist with Training preparation, agenda / setup, ID activation
  • Field Employee Equipment – Assist with assignment of customer equipment, tracking and maintenance
  • Reporting Platform – Establish profile, training, monitor employee utilization
  • Document notes from all team meetings, update SharePoint and Teams Sites
  • Job Tools – FAQs, Dealer Review Process, Follow up report process
  • Complete other special assignments if necessary

 

Required Skills

  • Previous automotive experience, with 5 years of fixed operations or equivalent experience
  • Establishes rapport with others by initiating and leading conversations to make other’s feel comfortable. Considers the impact of customers in the decision-making process
  • Excellent communication skills; Must be a good listener as well as a good communicator both in person and over the phone. Must have appropriate writing skills when communicating messages and reports. Must be computer literate and have experience with Microsoft Office products
  • Is creative in problem resolution and demonstrates the ability to think “out of the box”, makes it a priority to solve the customer issues
  • Ability to overcome objections and obstacles during day-to-day activities
  • Ability to train groups or individuals as required
  • Demonstrates a friendly and positive attitude with customers and co-workers
  • Must be able to multi-task in a busy environment. Able to work independently and with other team members

 

Education:

  • Degree is preferred, but will consider work experience in lieu of a degree​​​​​​​
